Documents and evidence
How documents attach to cases, who can see them, and what happens when one is removed.
On this page
Documents belong to cases. There is no separate document library, and that is a design decision rather than a missing feature.
Why they are not a library
A document in a library has its own access rules, which then have to be kept in step with the case's. They never are. Attaching a document to a case means it inherits the case's visibility automatically — the people who can see the case can see its documents, and nobody else.
Moving a document out of a case is therefore a deliberate act, not a drag.
Adding one
Three routes:
- Upload on the case.
- Email attachment, which lands automatically when the inbox is connected.
- A connector, pulling from a system you have integrated.
Each arrives as a timeline entry naming who or what added it.
Versions
Uploading a document with the same name creates a new version rather than replacing the old one. Both are readable, the timeline records the change, and the case shows the latest by default.
Removing one
Removal is recorded, not silent. The entry stays on the timeline showing that a document was removed, by whom and when — the content goes, the fact does not.
This is what makes the timeline usable as evidence. A record that can be quietly emptied is not a record.
Retention
Documents follow the case. Closing a case does not delete them; workspace retention settings govern what happens after, and those are configured in Settings → Retention.
