Inviting your team and setting roles

Add colleagues, choose the right role for each of them, and understand what changes when you do.

Invitations are sent from Settings → People. You need the Administrator role to send them.

Send an invitation

  1. Open Settings → People and choose Invite.
  2. Enter the person's work email address.
  3. Pick a role. See Roles and what each one can do if you are unsure — the summary is that Officer is the right default for most people.
  4. Choose the teams they should join. Team membership decides which cases they can see, so this is the field that matters most.
  5. Send.

The invitation expires after seven days. Resending issues a fresh link and invalidates the old one.

What happens next

They receive an email, set a password, and land in the workspace with no cases assigned. Nothing is shared with them until they are added to a team or assigned a case.

Changing someone's role later

Roles can be changed at any time from the same screen. The change takes effect immediately, including for anyone currently signed in — a role that has been narrowed takes effect on their next action, not their next login.

Every role change is written to the audit log with who made it and when. This is one of the first things an auditor asks for, so it is recorded whether or not you thought to note it.

Removing someone

Choose Deactivate rather than deleting. Deactivating blocks sign-in immediately and keeps their history intact, so the cases they worked still show who did what. Deleting a person who has touched real cases would leave gaps in exactly the record you need to be able to explain.

Reassign their open cases first. The People screen shows a count next to anyone who still has some.
